How to Create a Project Plan

Hi and welcome to Gwiz Academy’s articles on Project Management. Often not understanding project scope leads to unrealistic timelines and budget finalization. Thus poor planning is one of the causes of the failure of projects. So, here I am with an article that involves 10 steps towards a great project plan. Let’s get started.

10 steps on How to Create a Project Plan

Step 1: Project goals and deliverables

Let us assume that you got the project but let us not assume what its goals and deliverables exactly are. because not understanding the goals and deliverables but ASSUMING them is a big big mistake one can do with their project planning and gets the project into trouble.

Step 2: Define Scope

yes, stating or defining the exact project scope is a really important component of project planning.  Not just what’s going to be delivered and what’s included but also what’s excluded needs to be mentioned in the scope statement. This will keep you and the client both on the same page of expectations and requirements.

Step 3: Team selection

Based on what is required to be delivered, choose the team carefully. selecting the team based on what work they do and their current workflow is a critical part of the project planning.

Step 4: Mitigate Assumptions and Risks

Often higher-level members and the team members themselves will have their own assumptions. Assumptions when not mitigated become potential risks for the project. Hence reach out to the individuals and mitigate their assumptions regarding the project.

Step 5: Project Timeline

Time requirements for the project must be clear between the clients/ higher-level members and the team. often, expectations of the third party are not the same as we decide on, and it’s not mandatory to decide the timeline for each and every task. just the high-level expected timeline of the complete project or milestone wise is enough.

Step 6: Project Budget

Yes, discussing and planning the project budget is essential as there are direct and indirect costs involved. In addition to that, there’s a probability the high-level members may assume the direct and indirect costs to be zero, hence conveying the budget plays a pivot role in project planning.

Step 7: Team Meeting

Thinking that this was supposed to be at the beginning itself? No! to reach up to this step, you have to first pass through the first 6 steps so that when it’s time for a team meeting, you have gathered every essential thing that needs to be conveyed to the team and tell them that the next step is to just GET STARTED with the project.

Step 8: Tasks

The tasks are to be assigned to the experts of those tasks and you as a project manager have a task to guide and lead those experts team. You don’t have to come up with every solution but just provide the essentials to the team and check for the road blocks if any. when the team is assigned tasks be it individually or in groups, it in return provides accountability.

Step 9: Get your Plan Approved

There are always high-level members who actually approve the budget proposed or the team members required in order to make a decision if the project is going to be successful or not. Yes, the decision maker’s approval is one of the key things required for a project plan to be put into action.

Step 10: Execute it!

So you see there’s a lot of energy and effort to be invested in making a plan. but if the first 9 steps are done well then further execution and monitoring become a lot easier.
